CoCA's 2015 24-Hour Art Marathon & Auction Gala

We'd love you to be a part of this massive fundraising event for one of Seattle's most colorful arts organizations. Meet new people, learn a new skill or show off your talents, fulfill a philanthropic desire, feel great about supporting living contemporary artists.

Marathon Volunteer Positions

Wednesday, November 11, 12pm - Thursday, November 12, 11pm

  • Administrative Assistant (2): Various times. Assist leads with various administrative tasks as needed. Should have good computer skills: excellent at Word and Excel. Experience with Photoshop, InDesign, PHP, HTML and Google Drive all a plus.
  • Artist Helpers (2) Wednesday, 8pm-10pm. Assist artists with unloading and setting up their studios including lighting
  • Technical Assistant (1): Thursday, 2pm-7pm  Help set up projector for slide shows, sound equipment, problem solve for incoming djs
  • Artist/Event Photographers (3) Wednesday, 10am-Friday, 11pm. Work with Lead to cover complete event. Shoot artists at work, Thursday Art Party, overnight, Auction set up and event through closing.
  • Overnight Artists’ Liaison (2) POSITION FILLED. Wednesday 9pm through Thursday 9am. Be able to stay up overnight with artists to assist with their needs. Help with load in. Provide overnight snacks, help with breakfast
  • Daytime Artists’ Liaison (2) Thursday, 9am-Thursday 6pm. Help with breakfast, provide afternoon snack, dinner. Tidy up. Be on hand to assist artists with whatever they need.
  • Art Party Helpers (2) Thursday, 5pm-11pm. Help set up and manage beer, snacks, whatever else the room needs, keep things tidy throughout the event, help clean up.
  • Security (2-3) Wednesday 3pm-10pm, Thursday 10am-1am. This is a hands-off position; you are our eyes and ears keeping watch on the guests coming and going, on our equipment, tools and other property.

  • Sign In Table (2-3) Thursday, 5:30pm-9:30pm. POSITION FILLED. Welcome and register guests, check IDs, give out drink tickets, take donations.
  • Box Office/Door (2-3) Thursday, 5:30pm-9:30pm. Great guests, request and graciously accept donations at the door. Sliding scale $5-$20. 
  • Merchandise Table (1) Thursday, 5:30pm-9:30pm. Help sell CoCA merchandise and Auction tickets during the Art Party. Experience with Square a plus but not necessary. 
  • Coat Check (1) Thursday, 6-10pm. Hang coats, check bags. Standing position. Encourage guests to leave tips which go to benefit CoCA.
  • Clean Up/Set Up (10) Thursday, 10:00pm-2:00am. Clean up after Marathon. Auction Set Up.

Auction Volunteer Positions

Friday, November 13

All auction volunteers, with the exception of the set up and clean up crews, should be prepared to stay the entire duration of the auction. We will try to schedule you so that you don't have too much down time. Please dress to impress (with appropriate shoes if you're standing). We are currently seeking donations of food for our volunteers; if you have a serious food allergy, please plan on covering your own needs. 

  • Set-up crew (6-8): Friday, 9am to 5pm. Set up tables, decorations, equipment.
  • Technical Assistant (1): Friday, 1pm-11pm. POSITION FILLED. Help primarily with sound, projection and lighting issues during set up and auction
  • Administrative Assistant (2): Friday, 10am-11pm. Assist leads with various administrative tasks as needed. Should have good computer skills: excellent at Word and Excel. Experience with Photoshop, InDesign, PHP, HTML and Google Drive all a plus.
  • Art Photographer and Slide Show prep (2) Thursday, 7pm-completed. Shoot all of the completed pieces. Prepare slide show for live auction including artists’ information.
  • Bar (3) 4:30pm-10:00pm. POSITIONS FILLED Help lead bartender with bar set up, pour and serve beer, wine. Help pour wine through dinner/auction. Assist with clean up. WA State License required.
  • Food Servers (4-6): Friday, 4:30-10pm. Must have current WA State food handler's card. Assist caterer during happy hour (raw oyster bar) and during three course seated dinner. Food will be served family style. Assist during Dessert Dash: help cut cakes, serve coffee. Ability to be unobtrusive and work "in the background." Ability to focus on individuals, enthusiastic, excitement for the event, overall sense of auction organization, staff, volunteers, and facility layout.
  • Art Wrappers (6) 7p-11pm. Transform silent auction space to art wrapping space. Wrap art for patrons. Must take care to track bidder forms so that art is easily identifiable during check out. Must be fast, have previous art handling experience, be cautious around pieces that are fragile.
  • Event Photographer (2) Time TBD. Must be approved by lead photographer.
  • Coat Check (2) Friday, 4:30-10:30pm. Hang coats, check bags. Standing position. Encourage guests to leave tips which go to benefit CoCA. May be asked to assist with art wrapping during auction.
  • Guest Registration & Check-Out  (4) Friday, 4:30-10:30pm. POSITION FILLED Registration: Welcome and thank guests for attending, conduct registration and check out tasks. Qualities Needed: calm under pressure, quick, warm personality, trouble-shooter, strong organizational skills, multi-tasker, experience with online forms and credit card swipers. 
  • Check-out Expediters (2): Friday, 7-10:30pm. Help guests retrieve their art purchases from wrapping area. 
  • Auctioneer Assistant (1): Friday, 4:30-10:00pm. Work with Laura as needed. Run silent and live auction crews (with their crew leaders). Must have previous experience.
  • Auction Spotters (2-4): Friday, 7 -10:00pm. Assist Auctioneer by standing in certain sections of the audience, encouraging bidders to bid, helping the auctioneer "catch the bids." Encourage guests to participate in bidding; egg on bidding wars. Qualities Needed: assertive and fun personality, enthusiastic while not disrupting the auction, the auctioneer or bidders, ability to read non-verbal cues, attentive to auctioneer needs, high school pep rally experience helpful but not necessary. This is a standing position.
  • "Vannas" (3-5): Friday, 7-10:00pm. Carry art onto floor for guests to preview as Auctioneer introduces it. Move across stage/through crowd as bidding occurs, engage with any bidding wars. Qualities Needed: assertive and fun personality, ability to read non-verbal cues, enthusiastic, attentive to auctioneer needs; ability to move very quickly.  This position appears to be "showy" but actually requires you "show" the item off more than, well…yourself.
  • Clerk Recorder (2): Friday, 7-10:00pm. Record all sales made by the Auctioneer on the Clerking Sheets provided. Serve as a second set of eyes and ears for the Auctioneer. Qualities Needed: strong concentration, focus on one task, ability to ignore outside noise, good with numbers, trouble-shooter, spontaneous, legible writing, ability to complete paperwork.
  • Greeters (2): Friday, 5-8pm. Welcome auction attendees as they enter the venue. If they have not registered, have them fill out registration form. If there is a back up, engage in discussion and witty banter. Qualities Needed: Ability to focus on individuals, enthusiastic, excitement for the event, overall sense of auction organization, staff, volunteers, and facility layout. Great for people who know people or be willing to do some research on guests so that they can be personally greeted.
  • Runner (2): Friday, 7-10:00pm. Serve as a point people for the Auctioneer if she needs anything before the auction starts. Help the Auctioneer answer questions, solve problems, and ensure flow of Auctioneer Preparation During auction, run completed clerking sheets from the recorder to the check-out table; work with Vannas to ensure matching clerking sheets goes with art to art wrapping. Qualities Needed: overall sense of auction organization, staff, volunteers, and facility layout, ability to problem-solve, assertive and organized, fast mover.
  • Clean Up (20) Friday, 10pm-12am. All hands on deck! If you have a car or truck and can help us move items back to CoCA we will kiss you.
